Position Overview
The full-time office-based Administrative and Finance Assistant is responsible for
providing comprehensive support to both administrative and financial operations within
the organization. This role ensures efficient office management, accurate financial record
keeping, and supports the smooth functioning of daily business activities. The ideal
candidate is detail-oriented, organized, and able to multitask in a dynamic environment.
Key Responsibilities
• Administrative Support.
• Manage incoming calls, emails, and correspondence.
• Schedule meetings, appointments, and maintain calendars for staff.
• Prepare and organize documents and reports.
• Maintain office supplies and product inventory and place orders as needed.
• Assist in organizing office events and travel arrangements.
Administrative Assistance:
• Providing essential clerical and organizational support
• Managing schedules
• Handling correspondence (emails and calls)
• Maintaining filing systems (digital/physical)
• Renewal of business permit, sanitary permit, community tax certificate, etc.
Financial Assistance:
• Assist with accounts payable and receivable processes.
• Prepare, process, and file invoices, receipts, and expense reports.
• Maintain accurate and up-to-date financial records and ledgers.
• Support monthly and annual financial reporting activities.
• Reconcile bank statements.
• Accurately review and file company taxes in timely manner.
Compliance and Documentation:
• Ensure proper filing of financial and administrative documents.
• Assist in audits and compliance checks as required.
• Maintain confidentiality of sensitive information.
Other Duties as Assigned:
Support other team members and management with ad hoc tasks.
Qualifications
• Fresh graduate in office administration, financial management, bookkeeping, or a
related field is preferred.
• Good organizational and multitasking abilities.
• Good English communication skills, both verbal and written.
• Knowledgeable in MS Office (Word, Excel, PowerPoint) and familiarity with Excel
formula and accounting software.
• Attention to detail and accuracy in handling financial data.
• Ability to work independently and as part of a team.
• Trustworthy, reliable, and maintains confidentiality at all times.
